Community Activity Center – Daedalion Room

Mr. Russo opened the meeting and the Board listed the following issues to bring to the 9 Jan 07 meeting with United Communities.

1. Insects - many units in FCN have insects - is there a plan for prevention instead of sending one exterminator from house to house.
Many preventative steps have already been implemented. Our exterminator has been working with us to continue to plan for the future.

2. Upgrades to housing - with the housing that is renovated already will there be any upgrades to housing, i.e. standardized garage doors for the Ft Dix housing, upgraded carpeting in housing. If upgrades are in the plan will they occur before personnel move out of the housing?
There are no current plans for standardized garage doors. Flooring, whether it is hard work, tile, laminate or carpet should be addressed on a case by case basis. We have found that not everyone wants carpet, so we ask that residents call the Leasing Office to request any flooring changes needed. If changes are agreed to and the home is occupied, we will communicate ample time to the resident so that the changes can be done promptly while still occupying the home.

3. Water damage to personal property - personnel wanted to file a claim and the housing office on base did not have the forms available - the person had to get the forms from the main UC. Any forms that are required should be on hand at the local UC office.
Insurance forms can be found in the UC Leasing Office – 2838B Doolittle Dr. Falcon Courts East (near the Arnold gate). 4. When jobs are contracted out to local contractors (i.e. plumber) a UC representative should escort the contractor. Some contractors have left large messes behind after their work.
UC will have an escort for all subcontracted jobs in occupied homes. If a job is left incomplete or unsatisfactory, please notify someone in the Leasing Office and request a Management follow up.

5. Phase I at Ft Dix has leafs blowing into other housing area - UC needs to maintain all areas in housing even construction areas.
UC’s Landscapers intend to improve on all services provided now that they are more familiar with the Community.

6. Plumbing issues at 4227A East Castle - entire unit has plumbing problems - would it be more cost effective to hire a plumbing contractor team to fix the problem or move 8 families.
UC will do it’s best to keep folks in their current homes during all emergencies. There may be instances where a furnished home will be provided for a temporary stay for an inconvenienced resident. With the age of the homes, it may be more advantageous for some residents to relocate in extreme circumstances due to the time for necessary repairs.

7. Is there a possibility of having inspections implemented again - people in housing tend to get lazy about keeping there area clean.
UC has been performing curbside inspections and has been working with resident’s that bring concerns to their attention. All violator’s are given written warnings and one is placed in their file for their 1st offense. UC will continue to ask residents for cooperation in this Community-wide goal.

8. Maintenance - Gutter not cleaned out in the Ft Dix housing area or the 4200 FCN.
UC will re-inspect the mentioned areas and take all necessary steps to maintain all gutters.

9. Cleaning contractor leaves old cleaning supplies on curb in black trash bag - some seen for over a week.
New subcontractor requirements have been created to eliminate this.

10. Paint - housing being painted in Ft Dix with flat paint - need to upgrade to different type of paint.
UC will continue to use Flat paint as agreed in planning. Residents are able to change the paint on their walls as long as they are able to return the walls in a condition so that UC will only need to apply 1 coat for the next resident. This verbiage will be updated in the Resident Handbook.

11. Roads - pot holes need patching on West Castle.
We have recently hired Porters to tend to the curbs and roads. All road repair will be addressed.

12. Phase I construction on Ft Dix - open area, where will fencing be going up; has the school busing been coordinated with the school system, will there be a different traffic flow
The area will be fenced off before demolition will start. This will be in late January/early February. Since Parcel K (Laurel Hill) is adjacent this area will be fenced off as well. Site work will begin in this area and progress with the site work in F-1. Construction entrance and exiting will be done from Pointville Road on a road created to run parallel to Hemlock Street in the open area. Security fencing will be installed along both sides of this road, around F-1 and Parcel K. This fence will extend across Juliustown Road. Juliustown Road will be closed between Locust Street and 10th Street. You will be able to access 10th Street from Juliustown Road. Gates will be installed at these closure points to facilitate emergency vehicles that may need quick access into the areas surrounding F-1.
